Exporting your notes, contacts, and reports in encrypted or GDPR-compliant formats.
You can export your data from the hotline at any time. Exports are available for notes, contacts, reports, and call history.
Exporting your notes
Go to the Notes page and look for the export option. Your notes are exported as an encrypted file that only you can read. This means even if the export file is intercepted or accidentally shared, the contents remain protected.
Exporting call history
Operators can export call history from the Calls page. The export includes:
- Call dates and times
- Duration
- Status (answered, missed, voicemail)
- Which staff member handled each call
The export is formatted as JSON, suitable for record-keeping or analysis.
Exporting contacts
Operators can export the contact directory from the Contacts page. Contact data is exported in its encrypted form to maintain privacy protections.
Exporting reports
Reports can be exported individually or in bulk. The exported data includes the report content, thread replies, and metadata.
GDPR data requests
If your organization operates under European data protection rules (GDPR), individuals have the right to request a copy of their personal data. As an operator, you can fulfill these requests by:
- Searching for the person’s data across calls, contacts, and reports
- Exporting the relevant records
- Providing the export to the requester
The system is designed to make this process straightforward. All personal data is identifiable and exportable.
Bulk export for operators
Operators with full access can perform bulk exports across the entire system. This is useful for:
- Regular backups of organizational data
- Compliance audits
- Migrating to a different system
Bulk exports maintain encryption — the exported data remains protected at rest.
Security of exports
All exports preserve the encryption of the original data. Files are only readable by people who have the correct decryption keys. Store export files securely and share them only through trusted channels.
